Visual design of the forms using drag-and-drop

The process of creating forms  is easy, fast and does not require any programming knowledge.

To add any element to the form you need to perform a few simple steps:

  1. Use your mouse to drag the item from the catalog of form-elements and drop it to the form.
  2. Configure the behaviour of the element and interface.
  3. Set or change the order of items on the form.

Complex formula

Complex formulas – is a tool that allows you to combine the formula to the group. The result is that all formulas in the group are summed and returned as a string or an array of strings.

When to use:

  • The formula is too big, and it can be divided into blocks.
  • The formula on the form repeats many times.

Validation of the forms

There are a number of tools and settings created to impose different requirements for completing the fields on the form. All checks are performed in real time. The system automatically checks the validity of entered data and can display warnings to help users correct errors.

Options of conditions and requirements:

  • The field is not allowed to change (formula).
  • The field is a mandatory (formula).
  • Message if the field is not valid.
  • Message if the field is a mandatory and is not valid.
  • Record or not record an error in the case of incorrect data.
  • The level of criticality of incorrect data.
  • Verify data using formulas.
  • Verify data using LUA.
  • Verify data using a regular expression to match.
  • Verify data using a regular expression to not match.
  • Verify the data using template to match.
  • Verify data using template to not match.

Also, if necessary, you can build a report of detected records or documents with incorrect or invalid data.

Mechanism “Document location”

This mechanism allows you to track the physical location of the original paper document.

You can find the following information about the document:

  • The exact location where the paper document is stored.
  • When and to whom the paper document was passed.
  • The reason why a paper documents was chosen
  • When the document was, or when it is due to be returned.

You can view the history of movement of the paper document at any time.

 

Mechanism “Controlling access to the document”

It allows you to automatically manage the access rights to any documents in the system.

Flexible rules allow both access to new documents,  and automatically update the access for users during the document workflow

To whom can document access be granted?

  • User.
  • Positions.
  • Group.
  • Organizational units.
  • Privilege.
  • Policy.

What are the access level to documents?

  • Allowed to read and edit.
  • Allowed to read, editing is allowed only to the author of the document.
  • Allowed to read, edit prohibited.
  • Access is denied.

Mechanism “Write-off in the case”

After completion the work with the document, it can be attributed to the case.

Only registered documents which are taken from control and with all tasks completed  can be attributed to the case.

Write-off of in the case of a document can be automatically after the registration of the final response to the document, or manually, by pressing the button – “Write-off in case.”

Mechanism “Registration”

Registration – it is the process of assigning a unique number to the document and a set of details according accepted standards.

Registration mechanism allows:

  • Set individual rules for assigning registration numbers for each document.
  • Configure the format of the registration number.
  • Allow/disallow users to register certain types of documents.
  • Configure user access to the numerator.
  • Define document distribution streams, such as inbox, outbox, internal.
  • Manage of the period when numbers will be reset (for example, annual cycle)
  • Automatically assign a barcode to the document during the registration.
  • Reserved numbers.
  • Notify person(s) responsible about the need to register the document

Multi-language localization

Multi-language support allows users to operate the system in their usual language. Currently the system supports three languages: English, Russian, Ukrainian.
Any new language can be added easily.

Translations are controlled from a dedicated interface and phrases are managed directly in the user interface (contextual translation).
The “Microsoft Azure Marketplace” service is used to accelerate the localization.

Inviting a new to the system / User registrations

The invited user receives an email with instructions and a registration link unique to them.

The first authorization process in the system includes several stages

  • Verification form.
  • Terms and conditions display at login.
  • Acceptance of system policies.
  • A page with instructions (optional).
  • Authorization form.

Registration links are customisable

  • Invitation can be time sensitive
  • Invitation expiry time is customisable.
  • Link length is customisable.

Auto disconnection of inactive user

If the user does not perform any operation the system can automatically close the inactive session.

  • Setting of the user`s downtime is set in minutes.
  • Session inactivity timeout can be set in minutes.
  • The user can acknowledge the disconnection warning and continue working.

After disconnection, the user can re-login and continue working, from the place they were disconnected.
